About the Role
This role is ideal for someone who thrives in a flexible, remote environment but understands the importance of responsiveness and reliability. You won’t be expected to work a traditional 9-to-5, but you do need to be available during standard U.S. business hours and capable of handling intermittent tasks as they come in throughout the day.
Whether you’re responding to client emails, managing calendars, preparing documents, or organizing digital files, you’ll play a key role in helping small business teams stay organized, efficient, and professional.
Key Responsibilities
As a Virtual Assistant, you’ll be responsible for supporting a diverse group of U.S.-based clients with tasks such as:
- Customer Service & Communication:
Respond to emails, inquiries, and messages in a friendly, professional manner. You’ll often be the first point of contact for clients, so clear and warm communication is a must. - Calendar & Schedule Management:
Coordinate appointments, meetings, and calls. You’ll help manage time effectively for business owners and their teams. - Administrative Support:
Assist with data entry, document preparation, inbox and file organization, and other basic administrative duties. - Internal Documentation:
Help create, edit, and update standard operating procedures (SOPs) and other internal process documents to ensure consistency. - Task & Time Tracking:
Log time accurately for billing and productivity purposes, and report updates regularly to clients or internal teams. - Operational Support:
Assist with day-to-day workflows in a variety of industries (especially home services), offering dependable administrative support that helps clients focus on growing their businesses.
Work Style & Schedule
This position offers a flexible schedule, but you must be available and responsive during standard U.S. business hours (any time zone). The nature of the work is intermittent—you’ll log time only when you’re actively working on tasks, emails, or calls.
Expect to work in short, focused bursts throughout the day, depending on client needs. This format is great for professionals who value flexibility, but it also requires accountability and prompt communication during business hours.
What We’re Looking For
We are looking for candidates who are self-driven, organized, and tech-savvy. To succeed in this role, you should possess:
- Prior experience as a Virtual Assistant, Administrative Assistant, or in a similar support role
- Comfort with using task management tools and remote communication platforms such as Google Workspace (Docs, Sheets, Gmail), Zoom, Slack, and others
- Strong written and verbal communication skills in English
- Excellent organizational and time management skills
- Reliability—you follow through on tasks and respond promptly to communication
- Ability to work independently, while keeping in regular contact with clients and team members
- Physical location in the United States is required
- Consistent availability during U.S. business hours
- Flexibility to start part-time, with the option to grow into full-time as needs and performance align
