The ideal candidate will be responsible for providing executive administrative support, managing schedules, handling communications, and assisting with a variety of organizational tasks to ensure the smooth operation of the organization. Position Overview of Personal Assistant

As a Remote Personal Assistant for Family Promise of the Lower Cape Fear, you will play a crucial role in supporting the day-to-day operations of the organization. Your primary responsibilities will include personal and executive administrative assistance, managing diaries, effectively communicating with team members, and performing clerical tasks to enhance organizational efficiency. In this role, you will also interact with other team members remotely, ensuring that communication is smooth and timely to facilitate the achievement of the organization’s goals.

This is a part-time, remote position, with an expected workload of 10 hours per week. The compensation for this role ranges from $3,200 to $3,800 per month, depending on experience and qualifications.

Key Responsibilities of Personal Assistant:

  • Executive Administrative Support: You will be responsible for managing schedules and calendars for team members and leadership. This includes organizing appointments, setting reminders, and ensuring that there are no conflicts in scheduling.
  • Diary Management: As part of your role, you will assist in diary management by keeping track of meetings, events, and deadlines. Your organizational skills will be crucial to ensuring that the team operates smoothly and efficiently.
  • Communication Management: Handling phone communications with a high level of professionalism and courtesy is essential in this role. You will act as a liaison between the team and external partners, answering queries, and forwarding important messages as needed.
  • Organizing Files and Records: You will ensure that all organizational files and records are well-maintained and easy to access. This will involve both digital and physical records, depending on the needs of the organization.
  • Event Planning and Project Coordination: You may be required to assist in organizing and coordinating events or projects for Family Promise. This includes managing logistics, communicating with vendors, and ensuring that events run smoothly.
  • Data Entry and Bookkeeping Support: Utilizing your computer skills, you will assist with data entry tasks, including updating contact information, tracking donations, and performing general bookkeeping duties as required.
  • Team Collaboration: While this is a remote position, you will need to ensure effective communication with team members. Collaborating via digital tools and supporting other departments will help keep the organization functioning seamlessly.
  • Maintaining Confidentiality: Given the nature of the work with vulnerable populations, you will be responsible for maintaining confidentiality and discretion at all times.

Qualifications:

To be considered for this role, you should possess the following skills and qualifications:

  • Personal Assistant and Executive Administrative Assistance Experience: Previous experience in a personal assistant or executive assistant role, providing administrative support, scheduling, and managing communications.
  • Strong Communication Skills: You should have excellent verbal and written communication skills to interact effectively with team members, clients, and other stakeholders.
  • Proven Organizational Skills: Attention to detail, strong organizational abilities, and the ability to juggle multiple tasks simultaneously are key to success in this position.
  • Clerical Proficiency: Knowledge of clerical tasks, such as file management, data entry, and record keeping, will be essential for this role.
  • Confidentiality: You must have the ability to maintain strict confidentiality when dealing with sensitive information, especially when working with vulnerable populations.
  • Experience with Vulnerable Populations (Preferred): Experience working with individuals or families facing housing instability, domestic violence survivors, or other vulnerable groups is highly valued.
  • Knowledge of Community Resources and Social Services (Preferred): Understanding the resources available within the community and knowledge of social services will be an asset in assisting our clients.
