Key Responsibilities:

  • General Administrative Support: Handle clerical and administrative duties, including answering phone calls, responding to emails, and managing office correspondence.
  • Office Management: Monitor office supplies inventory, track stock levels, and place orders to ensure seamless office operations.
  • Scheduling and Coordination: Maintain calendars, schedule meetings, and coordinate appointments for staff and management.
  • Customer Service: Assist with customer inquiries, providing timely and professional responses to enhance customer satisfaction.
  • Documentation and Reporting: Prepare and distribute reports, memos, presentations, proposals, and other necessary documents.
  • Data Management: Organize and maintain filing systems—both electronic and physical—to ensure accurate record-keeping.
  • Financial Support: Process invoices, manage accounts payable/receivable, and assist with basic bookkeeping tasks.
  • Project Assistance: Support management with administrative projects and initiatives that contribute to office efficiency.
  • Marketing and Communications: Assist in the preparation of marketing materials, presentations, and proposals.
  • Other Duties: Take on additional administrative responsibilities as needed to support office operations.

Qualifications and Skills:

  • Education: High school diploma or equivalent required; an associate’s or bachelor’s degree in business administration or a related field is preferred.
  • Experience: At least 2 years of experience as an administrative assistant or in a similar role is preferred.
  • Technical Skills: Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook) and familiarity with office management software.
  • Organizational Skills: Excellent ability to manage multiple tasks, prioritize workload, and meet deadlines in a fast-paced environment.
  • Communication Skills: Strong verbal and written communication skills to effectively interact with internal teams, clients, and stakeholders.
  • Attention to Detail: Strong problem-solving abilities and keen attention to detail to ensure accuracy in all tasks.
  • Teamwork and Independence: Ability to work independently with minimal supervision while also collaborating effectively with team members.
  • Adaptability: Ability to adjust to changing priorities and handle unexpected challenges professionally and efficiently.
  • Industry Knowledge: Experience in the precious metals industry is a plus but not required.
