Executive Assistant

A small private family office in Mayfair requires a dedicated PA to assist the principal, working together with the current PA. The principal is a very busy individual predominately working in the property sector; however, the role will involve all aspects of his life ensuring every day is different.

Duties:

Responsibilities include but not limited to:

Business 

  • Managing the diary for both meetings in the office and personal appointments; Maximise the time of the principal, working with the current PA to identify priorities and coordinate dairy actions. Ensure all corresponding arrangements are made e.g., agendas and documentation. 
  • Property: The Principal runs a very successful commercial and residential portfolio. The PAs are to assist with arranging property access, viewings, maintenance, procurement of furniture/art and quote comparisons.
  • Administrative: Business meeting minute taking, email dictation, letter writing, arranging couriers and maintain shared computer filing systems.
  • Recruitment: Office & household staff.

Private

  • Arranging doctors, dentist and restaurant reservations.
  • Family: Assisting the principal’s son and daughter with any requirements such as travel, private tutors, memberships, appointments and school related matters.
  • Research and coordinate all travel arrangements: Liaising with private jet charter, yacht charter and booking hotels. Presenting all options and rates to the principal before confirming the bookings.
  • Personal shopping
  • Managing household staff and supporting them with upkeep of the principal’s primary residence.

 

Candidate requirements:

  • This is a busy, demanding and changing environment which is not for the faint hearted or sensitive. As a small family office candidates should be comfortable working across several areas to support the principal.
  • Candidates must be extremely organised, remain calm under pressure, be able to multitask and have a good memory. Crucially, candidates must be ‘on the ball’ have self-motivation, take initiative, use common sense and be resourceful.
  • This position works with people at all levels, so it is important to be able to build and maintain those relationships whilst always maintaining the highest levels of confidentiality, discretion, and sound judgement.
  • It is essential that candidates learn quickly and are always ‘switched on’.
  • Candidates must be competent using the Microsoft Office package and the internet as a research tool.
  • The candidate should have previous experience working in family office of at least 10 years.
  • A second language and knowledge of luxury brands/travel is desired.
  • 10 years experience as Executive Assistant
  • Preferably University graduate
  • Preferably Bilingual Italian and French
  • Proficient in Using search engines like Google Search

·The position is offered on a temp to perm basis; however, a permanent position would be considered for the right candidate.
