Key Responsibilities

Front Desk Management

  • Serve as the first point of contact for visitors, employees, and clients.
  • Maintain a professional, welcoming, and organized reception area.
  • Handle incoming and outgoing mail, courier services, and package deliveries.

Call & Inquiry Handling

  • Answer and manage all incoming calls in a courteous and professional manner.
  • Address inquiries directly or transfer calls to the appropriate departments.

  • Respond to email inquiries and provide information as needed.

Visitor Management & Security

  • Greet and welcome visitors with professionalism and warmth.

  • Monitor visitor logs, issue visitor badges, and follow company security protocols.
  • Ensure compliance with office safety policies, including emergency procedures and visitor screening.

Communication & Correspondence

  • Provide accurate information to guests and callers in person, over the phone, or via email.
  • Assist in handling general correspondence and office communications.
  • Maintain and organize physical and digital filing systems for easy access to important documents.

Office Inventory & Supplies Management

  • Keep track of office supplies, including stationery, coffee, and other essentials.
  • Place orders to replenish supplies in a timely manner.
  • Ensure all office equipment, such as printers and copiers, are in working condition and coordinate with vendors for repairs when needed.

Administrative Support

  • Provide assistance to the HR and Admin teams with tasks such as data entry, record-keeping, and document preparation.
  • Help organize meetings, schedule appointments, and coordinate conference room bookings.
  • Prepare reports, memos, and other office-related documentation as required.
  • Support event coordination and internal team activities.

Required Skills & Qualifications

  • Experience: Previous experience as a receptionist, front desk associate, or customer service representative is preferred.
